Police clearance for a job in Zambia
Check whether the employer needs it and follow Zambia Police Service instructions.

A police clearance certificate may be requested for certain jobs, permits or placements, but it is not a universal prerequisite to search for work. Zambia Police Service publishes a certificate and fingerprint route. Before spending time or money, confirm the requirement in the real employer notice and check the current official instructions. This guide explains the difference between an official document process and a recruiter's promise to "clear" an application for a fee.
Confirm the employer's exact requirement
Read the current vacancy and ask which certificate, issue date and stage of recruitment apply. A role involving children, sensitive records or a foreign permit may have different checks from an ordinary office job. Do not assume a forwarded message asking for clearance came from the employer. Save the original role and call the organisation through its published details if the requirement changes. The Zambia Police Service describes the official certificate; an employer's screening policy determines whether it is needed for a particular job. Avoid sending a certificate to every vacancy portal indiscriminately.
First ask the employer which clearance it needs, for what role and at what stage. A vague message saying every applicant must buy a certificate before an interview is different from a verified offer with a documented screening process. Check the police service's current instructions yourself, including identification, location and official payment method if one applies. Record the receipt and reference. Do not pay a private agent who claims to accelerate the decision. A candidate living outside the city should confirm whether the process requires attendance or can be handled through an authorised route before spending money on travel.
Use the official fingerprint route
Follow the Zambia Police Service page for current forms, fingerprint instructions and offices. Requirements and charges may change, so do not copy an old fee screenshot. Keep the receipt from the official process. If you live outside Zambia or need the certificate for a permit, ask the issuing authority how fingerprints and delivery should be handled for your circumstances. An employer should not need your bank password to request a police certificate. A person offering instant clearance through a private WhatsApp contact is not a substitute for the issuing authority.
Treat the certificate as a sensitive document, not a public portfolio item. Store a copy securely and share it only with the named employer through the channel it identifies. Verify the spelling and other details against your ID as soon as you receive it, so an error can be raised with the issuing authority. If the vacancy closes before a certificate is ready, ask whether proof of application is acceptable; do not assert that it is. Keep the job reference in the correspondence. A police clearance may support a background check, but it does not prove that an offer, a recruiter or a payment request is genuine.
Verify recruiters and protect the document
A real offer may make clearance conditional, but a scammer can send a realistic checklist after a fake interview. Confirm the employer, job reference and stage through a contact you found yourself. Workzambia.net is free and does not process police certificates. Do not pay us or a stranger for a guaranteed result. Store the certificate securely and share it only through the verified employer's requested channel. If the document contains sensitive identity details, avoid posting it publicly or sending it to multiple unverified recruiters.
Follow the submission route in the live notice, including its reference, document format and closing time. Public service jobs may use the government portal, while a company may use its own career system. Workzambia.net links to the original application and charges applicants nothing. A forwarded poster or message can be a lead, but verify it with the employer before sending sensitive documents. Do not pay a person who promises to move you onto a shortlist. Keep the advert and confirmation so that a later invitation can be checked.
Understand what it does and does not establish
A police certificate is one record check, not proof that a person has a qualification, professional licence or job offer. A hospital, school or mine may require additional verification and safety induction. If a recruiter says the certificate alone guarantees placement, ask for the individual vacancy and written terms. An international role may require a clearance from another country as well; follow the relevant authority and permit instructions. Do not interpret a document request as permission to start work before the employer's lawful process is complete.
Before you accept, request the legal employer, site, basic pay, allowances, hours, contract term, probation, supervisor and travel or equipment obligations in writing. Zambia's Employment Code Act provides the employment framework, but the particular contract still needs to be read. A contractor at a mine, hospital or utility may have different terms from direct staff. A higher headline wage can be less useful if a long commute, unpaid equipment or unpredictable shifts consume it. Clarify responsibilities before leaving another role.
Keep the date and reuse rules clear
Some employers require a recent certificate; others may accept an existing one. Ask about the required age of the document before obtaining another. Keep a private record of when it was issued and which employer received a copy. If an application stalls, follow up with the real employer rather than paying a middleman to accelerate it. Your best preparation remains a truthful work record, appropriate qualifications and the ability to answer questions about the job. Clearance supports a specific check; it does not replace evidence of competence.
Keep a lawful record of work, feedback, training and supervisors who can confirm what you did. Choose a next role from real vacancies and identify one skill or credential that it actually requires. If applications do not bring interviews, compare your evidence with the essential criteria before rewriting everything. If interviews fail, practise explaining decisions, limits and mistakes. Training or a talent profile is only a step; neither guarantees a job. A reliable record of work is what makes the next application stronger.
