Work permits and job offers in Zambia

A foreign candidate and a Zambian employer must distinguish a job offer from permission to work. Zambia's Department of Immigration describes permit types and the e-services route. The type and process depend on the intended work and duration; a visitor status is not a general employment authorisation. This guide gives a practical verification sequence without promising that a permit will be granted or substituting for advice on an individual case.

Identify the right permit question

Read the Department of Immigration's current permit-types page before relying on a recruiter summary. Its Employment Permit guidance addresses longer employment and describes who may apply and when a prospective worker should enter. Other categories can apply to different work or durations. Do not assume that a visa for visiting, a remote contract or an offer letter alone gives permission to work physically in Zambia. Check the actual employer, role, site and proposed start date. If the job is short term or unusual, ask Immigration directly or seek qualified local advice.

A foreign applicant should identify the employer, worksite, occupation and immigration permission required before agreeing to a start date. A business visit, application receipt and authorisation to work are different things. Ask the employer which official documents it will provide, who submits them and how a decision is communicated. Verify the route with Zambia's immigration authority rather than relying on an agent's screenshot. A remote contract with a company abroad still needs location and legal review; the word remote does not answer whether the work can be performed from Zambia under the person's particular status.

Verify the employer and offer first

A legitimate employer should provide its legal identity, job description, salary, worksite, contract period and the documents it will submit. Compare the role with the current vacancy on its official site. The Department of Immigration's process is not a substitute for a real job. An agent promising automatic approval after a private transfer should be checked with the employer and authority. Keep the written offer and ask who bears official application fees, travel and delays. Do not resign or buy a ticket based only on a message saying the permit is guaranteed.

Keep copies of the offer, application reference and approved status securely. Do not send an original passport or a personal payment to someone who promises a faster decision through private contacts. If duties or employer change, ask whether the existing permission covers the new arrangement before beginning. Read the written contract separately from the immigration paperwork: pay, site, housing and notice still need clarity. An employer may ask for documents at a legitimate stage, but the channel should be accountable and traceable. A person who cannot identify the legal hiring organisation cannot credibly guarantee a work permit.

Follow the official application route

Use current Immigration instructions and its e-services portal where applicable. Employer, lawyer or authorised consultant involvement depends on the permit process; the authority decides the outcome. Confirm the required qualifications and evidence with the actual application instructions, not an old checklist. ZAQA can assist with qualification verification if needed. Keep copies of submissions and official receipts. Do not share a portal password or full identity file through a personal messaging account. A foreign candidate should not start work while an application is merely pending unless the law clearly permits it.

Follow the submission route in the live notice, including its reference, document format and closing time. Public service jobs may use the government portal, while a company may use its own career system. Workzambia.net links to the original application and charges applicants nothing. A forwarded poster or message can be a lead, but verify it with the employer before sending sensitive documents. Do not pay a person who promises to move you onto a shortlist. Keep the advert and confirmation so that a later invitation can be checked.

Plan for timing, pay and obligations

Ask what happens if the permit decision takes longer than the proposed start date or is refused. Read the contract for location, basic pay, allowances, tax, housing, travel, medical cover and termination. Zambia's Employment Code Act is relevant to employment terms, but immigration permission is a separate question. A remote role performed outside Zambia may have a different legal analysis from work physically at a Zambian site. Discuss the actual arrangement with the employer and competent adviser. Do not treat a general job-board article as a personal legal clearance.

Before you accept, request the legal employer, site, basic pay, allowances, hours, contract term, probation, supervisor and travel or equipment obligations in writing. Zambia's Employment Code Act provides the employment framework, but the particular contract still needs to be read. A contractor at a mine, hospital or utility may have different terms from direct staff. A higher headline wage can be less useful if a long commute, unpaid equipment or unpredictable shifts consume it. Clarify responsibilities before leaving another role.

Maintain lawful records after approval

Keep the issued permit and conditions accessible, check expiry dates and ask about changes of employer or duties before assuming they are allowed. Save payslips, contract amendments and official correspondence securely. If a recruiter asks you to move to another site or client, verify whether the authorisation covers it. A professional licence may also be needed for regulated work; Immigration permission alone does not provide clinical or teaching registration. Follow the authority's current instructions for renewal and departure rather than relying on a former colleague's route.

Keep a lawful record of work, feedback, training and supervisors who can confirm what you did. Choose a next role from real vacancies and identify one skill or credential that it actually requires. If applications do not bring interviews, compare your evidence with the essential criteria before rewriting everything. If interviews fail, practise explaining decisions, limits and mistakes. Training or a talent profile is only a step; neither guarantees a job. A reliable record of work is what makes the next application stronger.
